Clear, thoughtful policies are the quiet foundation of a seamless event. Here’s how we work together to make sure every detail is handled with care.
Policy Highlights
- 50% non-refundable deposit and signed rental agreement required to confirm your reservation.
- Remaining balance due upon delivery, before equipment is released for use.
- Renter is responsible for all items from the time of delivery or setup through pickup.
- Damage, loss, or excessive soiling may result in cleaning, repair, or replacement charges.
- Credits toward a future event require team approval and must be confirmed in writing.
01 — Booking & Reservations
Reserving your pieces
A signed rental agreement and a 50% non-refundable deposit are required to reserve your items and event date. The reservation is not confirmed until both are received. The remaining balance is due upon delivery and before equipment is released for use, unless otherwise approved in writing.

02 — Rental Period
Your rental window
The rental period begins when equipment is delivered or setup is completed and ends when Rooted Occasions retrieves it. Customers must keep all items secure and the pickup area accessible. Delivery and pickup times are confirmed in writing. Do not move, alter, or disassemble equipment without authorization.
03 — Damage & Loss
Caring for what’s yours to borrow
The renter is responsible for all rental items from the time of delivery or setup completion through pickup by Rooted Occasions.
Customer Responsibility
Responsibility for all equipment begins at delivery or setup completion and ends when Rooted Occasions retrieves the items. Renters are responsible for keeping all pieces secure, undamaged, and accounted for throughout the rental period.
Damage Charges
Damage, loss, missing items, permanent stains, or excessive soiling may result in charges for cleaning, repair, labor, shipping, sourcing, or the current replacement cost of the item. All charges will be communicated to the renter.
04 — Cancellation Policy
If plans change
Reservation deposits are non-refundable. If plans change, contact our team promptly. Rooted Occasions LLC may approve the deposit as credit toward a future rental, subject to availability. All credit terms and rescheduling details must be discussed with and approved by our team.
05 — Proper Use & Care
Proper Use & Care
- Keep linens, upholstery, and delicate décor away from open flame, food, and standing water.
- Return glassware and tableware scraped and free of food — no washing required, we handle the rest.
- Repack pieces in the crates and containers they arrived in to keep everything protected in transit.
- Leave furniture and larger installations in place for our team; please don’t relocate them between venues.
06 — Tent & Weather Safety
Tent & Weather Safety
Once a tent is installed, the renter is responsible for it until Rooted Occasions returns to dismantle it. A tent is not a storm shelter — all guests must exit during severe weather. Rooted Occasions reserves the right to delay, refuse, modify, remove, or cancel an installation at any time when conditions are deemed unsafe.
07 — Rain & Wet Equipment
Rain & Wet Equipment
Ordinary rain alone is not considered damage. If a tent or any equipment becomes wet, leave it fully erected and undisturbed. Do not fold, roll, drag, bag, disassemble, or attempt to remove wet components. Rooted Occasions will dismantle, dry, and store all equipment properly. Damage caused by improper handling or failure to follow these instructions may be charged to the renter.
08 — Liability & Safe Use
Liability & Safe Use
Customers are responsible for the safe use of all rental equipment. To the extent permitted by law, Rooted Occasions LLC is not responsible for injury, property damage, or loss caused by misuse, unauthorized movement or alteration of equipment, failure to follow provided instructions, or conditions beyond its reasonable control.

These website policies summarize our standard terms. Each reservation is governed by its signed rental agreement, invoice, and any event-specific terms approved in writing by Rooted Occasions LLC. If terms differ, the signed agreement and written order details control.
